The Three Models for Scaling a Large Group

Model A – Parallel teams, one activity

The whole group runs the same activity at the same time, split into many small teams competing against each other on one leaderboard. This is the cleanest model for 100+ delegates because energy stays synchronised and there is a single finish line. Scavenger hunts, treasure hunts and challenge races all work this way.

Model B – Waves

The group is split into two or three cohorts that run the same activity in sequence. Use this when the venue or the activity has a hard capacity ceiling – a kitchen or a bar, for example. It costs more elapsed time, so it suits a full-day agenda rather than a 90-minute slot.

Model C – Station rotation

Delegates rotate through several shorter activities in fixed groups. This is the highest-variety option and the best fit for mixed-fitness or multigenerational groups, because each station can be pitched differently. It needs the most floor space and the most staff.

Which Formats Actually Scale

Scavenger Hunt and Treasure Hunt

A corporate scavenger hunt runs on a digital platform that guides teams through missions, clues and timed challenges, which is what makes it scalable – the app does the coordination that a human facilitator cannot do across forty teams at once. Treasure Hunt is explicitly scalable for small teams or large groups, with customisable routes, themes and difficulty levels, and runs in indoor, outdoor or hybrid formats for participants aged 12 to 60.

Challenge Race

The Challenge Race splits delegates into teams of 2–4 who complete five challenges across different genres, unlocking codes at each checkpoint. Cook-Off

The Cook-Off runs from 10 to 80+ participants with themed rounds, chef or host facilitation, DJ or live music, and everything included from tools and ingredients through to judges. Above roughly 80, plan for a wave or a second kitchen.

Game Night, Game Jam and Mixology

Game Night and Game Jam both run 1.5–2 hours in teams, indoors, and scale by adding teams. Mixology Masterclass runs from 6 to 60+ participants – strong as a rotation station, tighter as a standalone for very large groups.

Speed Networking

Speed Networking runs 60–90 minutes in timed interactive rounds and is the most efficient opener for a large conference group, because it puts every delegate in conversation immediately rather than sequentially.
